Full Job Description

  • Purpose of Role

    As Project Coordinator, International Medical Solutions, you will develop and enhance the collaboration and communication between all internal functions (e.g., Business Development and Contracting & Pricing , Field Management, HR, Finance and Compliance) to support Field Managers in delivering Client program objectives .

    You will be responsible for supporting all coordination efforts in relation to Amplity client funded medical solutions teams and ensuring project delivery as outlined in respective client SOWs. This includes but is not limited to taking the lead on ensuring all necessary actions, milestones and dependencies are fulfilled in relation to Contract ing and Talent Acquisition delivery , y ou will project manag e the implementation of new and existing outsourced Client teams through all stages of the p roject, while remaining aligned with the strategy, commitments, and goals of the organization.

You will enjoy producing highly accurate and will be transparent and clear in all your interactions with both internal and external stakeholders .

    Main Responsibilities:

  • Monitoring and responding to emails across multiple geographies and time zones

  • Support Implementation and delivery of overall Client strategy working closely with Field Manage ment

  • Support management of progra m activities

  • Support Field Manager on the execution of key strategic plans in the field

  • Creation of internal and external reports

  • Attend and contribute to internal meetings

  • Insight gathering to demonstrate effectiveness, develop future strategy and create better solutions

  • Support the p astoral care of the field team through adminis t ration of internal systems e.g. HR and expenses platforms, and time tracking approvals)

  • Proactively seeking opportunities to streamline processes, improve efficiency, and enhance the overall support to FM , adapting to evolving needs and preferences


  • Key accountabilities:

    People

  • Build rapport and liaise closely with Clients and internal tea m to ensure project requirements are captured appropriately, are clear and achievable from the outset

  • Maintain frequent and appropriate levels of communication with Field Management throughout the project lifecycle to ensure the project is meeting its deliverables and milestones

  • Support Field Management in o nboarding new employees as needed


  • Processes

  • Support F ie ld Management to l iaise with People Team to raise employment contracts and necessary onboarding documentation

  • Approve absence requests in accordance with company guidelines

  • Share relevant Amplity Health and Client procedures and processes to ensure team operate within a compliant framework and in accordance with legal requirements

  • Support F ie ld Management to c reate and produce timely reports as required Identify opportunities to reduce manual input and create capacity in existing roles to support efficiency and scale

  • Maintain internal systems for effective reporting to Amplity Leadership

  • Support the administration of team CRM system


  • Financials

  • Ensure self and team operate within any financial budgets allocated

  • Approve all travel and expenses incurred by team in accordance with company policies and within agreed timelines

  • Ensure team has access to and understand how to use financial systems

  • Always operate in a cost-efficient manner

  • Workday expert in all matters relating to Field Operations projects liaising with Technology, Product Owners and Business Process Optimization experts where necessary

  • Work with Technology on necessary internal business intelligence tool developments and reporting requirements


  • Clients - External/Internal

  • Collaborate with Field Manage ment to ensure Amplity Health is seen as a true partner for Client and can effectively offer solutions to meet Clients strategic goals

  • Ensure that any leads generated by the Talent Acquisition team are immediately passed to the appropriate Account Director and all relevant Client contacts and lead information is shared

  • Ensure colleagues are equipped with appropriate IT software/hardware, understand how to use it and have access to support services e.g. helpdesk


  • Share best practice, lessons learned and feedback to drive improved business performance internally

  • Assist as needed with wider team on ad-hoc duties as required and as appropriate to the role

  • Collaborate and meet regularly with colleagues and Client as appropriate

  • Role model Amplity Health values and represent our brand, demonstrating sound judgment and integrity in all aspects of the role

  • Facilitate induction, onboarding and compliance training for new starters in collaboration with relevant departments, working closely with FM

  • Support FM in extending offers to successful candidates as needed

  • Support FM to coordinate Clients 'Meet and Greet' calls or meetings as needed

  • Identify training needs and facilitate interventions utilising Amplity Health's LMS to meet these needs

  • Conducting introductory calls with candidate's when required

    Client facing and cross-functional experience

  • Demonstrable Project Management experience and/or qualifications

  • Experience of successfully delivering projects on time within scope and on budget

  • Demonstrated technical aptitude and working proficiency in Microsoft Word, Project Management software, Excel, PowerPoint, and Outlook

  • Ability to prioritize and handle multiple tasks and projects simultaneously with strict deadlines

  • Excellent verbal, written and interpersonal communication skills

  • Demonstrable ability to display high levels of initiative, proactivity and commitment to successfully complete projects and assignments

  • Strong rapport building and active listening skills
