Full Job Description

We are looking for a full time Operations Administrator to support our Operations & remote engineering teams.

This role involves reviewing and validating all timesheet entries for the remote engineers, ensuring the timesheets accurately reflect the time engineers have taken to attend jobs and complete work-related tasks. Other duties include approval of engineer expenses, ordering of engineer uniform and collating engineer absences.,

  • Review and validate daily time sheet entries using our Operations System (JobLogic) inline with the monthly payroll cut-off timings to ensure engineers are paid accurately.

  • Compare travel time between JobLogic and our Fleet Trackers to validate entries.

  • Identify missing time sheet data and engage with the Operations team to correctly assign the time.

  • Liaise with engineers when discrepancies are identified to resolve and communicate changes to timesheets.

  • Work alongside the finance team to ensure engineers are paid accurately for overtime worked.

  • Assist with the logging of engineer activities on our Operations System (Job Logic).

  • Ensure absences, holidays and sickness are recorded accurately with a keen eye for detail.

  • Processing of engineers expense claims.

  • Other ad-hoc administrative duties that may be required by the Operations team.

    Administration experience (Previous experience in time sheet management or similar administrative duty is desirable)

  • Computer literate, Microsoft office

  • Strong communication skills

  • Outstanding problem-solving skills

  • Strong interpersonal skills to deal with different engineers and departments within the business

  • Hours & Location of Work:
  • Main location - Thermatic Head Office based in Salford. Some flexibility to work from home.

  • Regular hours of work - Monday to Friday, 8am to 5pm - 40 hour working week

  • Some flexibility with start and finish times
