Full Job Description
Purpose of role: As a key member of the HR & Admin team you will:
- Work alongside the Admin Assistant to complete administrative tasks, relating to business need.
- Support the Head of HR with duties such as but not limited to, recruitment, contractual amendments, and external training needs.
- Effectively monitor and record data using Microsoft (incl SharePoint and SEREN)
- Support the Senior Leadership Team with administrative tasks.
- Data inputting using Microsoft and SharePoint which includes, monitoring and updating internal spreadsheets in line with business needs, keeping information up to date, and ensuring all data held complies with GDPR.
- Supporting the wider team with all administrative queries
- Answering the office telephone to external providers and clients
- Supporting with new starter set ups, which includes providing training to new starters on internal systems, ordering company equipment and liaising with new starters offering necessary support.
- Monitoring the case note data base SEREN.
- Supporting the Head of HR with recruitment which includes, shortlisting, advertising, and monitoring vacancies, providing support with telephone interviews, scheduling face to face interviews and closing vacancies.
- Supporting the Head of HR with contractual variations and updating necessary systems.
- Monitoring of absence and completing required documentation when required.
- Monitoring of timesheets and data inputting.
We are seeking a detail-oriented and organised HR & Admin Assistant to join our team. The ideal candidate will assist in the day-to-day operations of the HR & Admin department and play a key role in ensuring smooth HR & Admin processes., Proven experience in data entry and administrative tasks - Familiarity with SharePoint and Microsoft packages
- Strong organisational skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and communication skills.
- Ability to work well in a lone working position.
- Knowledge of basic HR functions is preferred.
- Administrative experience: 1 year (preferred)
