Full Job Description

We are looking to appoint a clinical administrator to join our busy
GP practice to be responsible for providing administrative support as required to the clinical and the multi-disciplinary team

You will be highly organised, have excellent communication skills, a compassionate and friendly nature who can operate in a busy environment with a range of people and professions, as you will be working with our clinical teams.

Job Responsibilities

To support the practice clinical team in the delivery of clinical administrative services.

The following are the core responsibilities of the clinical administrator. There may be, on occasion, a requirement to conduct other tasks. This will be dependent upon factors such as workload and staffing levels

  • Supporting all clinical staff with general administrative tasks as requested.

  • Support the practice nurses with the management of chronic disease clinics.

  • Accurately clinically coding and read coding data onto Vision system into the patient record.

  • Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action within Docman.

  • Inputting and extracting data as required to support practice reports.

  • Filing and storing records as required.

  • Photocopying documentation as required.

  • Actioning all incoming correspondence, emails and mail in a timely manner.

  • Inputting data into patients' healthcare records as necessary.

  • Conducting system searches as requested.

  • Partake in audit as directed by the audit lead.

  • Book appointments.

  • Assist with QOF/QAIF targets.

  • Support the practice nurse with health promotion programmed.

  • Act as chaperone as required.

  • Ensure all clinical rooms are adequately stocked and prepared for each session.

  • Ensure clinical waste is removed from clinical areas and sharp bins replaced in accordance with the organization's IPC policy.

  • Generate and action monthly vaccination claims.

  • Summarising of new patient notes.

  • Support and participate in shared learning within the organization.

  • Deliver opportunistic health promotion where appropriate.

  • Participate in local initiatives to enhance service delivery and patient care.

  • Maintaining a clean, tidy, effective clinical working areas at all times., Maintain confidentiality of information, acting within the terms of the Data Protection Act and Caldicott guidance on patient confidentiality at all times.

  • Maintain an awareness of the Freedom of Information Act.

  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data


  • HEALTH & SAFETY
  • The post-holder will manage their own and others' health & safety and infection control as defined in the Practice's Health & Safety Policy, the Practice Health & Safety Manual, and the Practice's Infection Control Policy and published procedures.

  • Comply with Practice health & safety policies by following agreed safe working procedures

  • Actively report health & safety hazards and infection hazards immediately

  • Keeping work and general areas clean and tidy, and using appropriate infection control procedures to keep work areas hygienic and safe from contamination

  • Undertaking periodic infection control training (minimum annually)

  • Awareness and compliance with national standards of infection control, hygiene, regulatory / contractual / professional requirements, and good practice guidelines.

  • Correct personal use of Personal Protective Equipment (PPE) and ensuring correct use of PPE by others, advising on appropriate circumstances for use by clinicians, staff and patients.

  • Using personal security systems within the workplace according to Practice guidelines
