Full Job Description

We are looking for someone to process and manage our administration and keep us on track with our Budget oversight and control. A confident & effective communicator, you will interact daily with Stakeholders, Specialist consultants, third party landowners and Facilities service providers and be a key part of the team delivering essential services to our business in the UK.

Your responsibilities

  • You will support the day to day delivery of our Facilities Services to our sites and stakeholders - This could include support with Reports, audits, and checks to make sure our buildings comply with Fire, Health and Safety, Water, Asbestos and environmental legislations or dealing with requests , questions or queries..

  • You will also support the Land management team with document management such as scheduling deeds and tracking deed locations. As an active member of this growing team we may need you to be flexible and able to assist in the organisation and running of events from time to time or help with planning and consultation administration as required.

  • Data is key in managing our provider performance and delivery. As a key member of our delivery team you will collect information, carry out desk research and provide support as required and insight to manage our commercial contracts.

  • Facilities & Land Management are at the forefront of change and continuous improvement in our business. You will be involved from time to time in new projects and change initiatives - this could be new development for our Land Teams or implementing some new Technology within Facilities.

  • We will also need you to approve Invoices for payment and monitoring and report spend against our Budgets. To do this you will need to work with our finance, tax, accounts payable and controlling teams and assist with budget reporting and planning.

    Excellent communicator with strong interpersonal skills displaying confidence, credibility, and professionalism.

  • Exceptional administration and organisation skills - with attention to detail for checking and ahead of issuing.

  • Able to build trust within the Company/ Team being a dependable, proactive team player. Can work on their own initiative and capable of working effectively individually and within the team.

  • Able to plan and prioritise tasks with excellent and efficient time management skills.

  • Have a questioning attitude with the ability to challenge effectively. Proactive and assertive for chasing and expediting documents and tasks

  • A good level of numeracy, literacy, and attention to detail, together with the enthusiasm to learn and apply further skills for which further training will be provided as appropriate.

  • A high degree of computer literacy specifically in the MS Office suite, with the ability to learn bespoke applications relevant to the role.

  • Interpersonal skills influencing and working with others, including internal and external stakeholders, 3rd parties, Specialists and Service Providers. Completer - able to deliver reliably with excellent organisational and Time Management Skills.

  • Offers suggestions to improve efficiencies.

  • Full UK Driving Licence
